How much does this cost?
Every engagement is scoped after the strategy call, because a single workflow and a full operational rebuild are very different pieces of work. What we can tell you up front is how it is structured: the audit is a fixed fee, each build phase is fixed-price against a written scope, and ongoing support is a monthly retainer. You see the full cost before any build work starts, and you are free to stop after the audit and take the roadmap elsewhere.
How long before we see something working?
The audit takes one to two weeks. The first build phase is typically two to eight weeks depending on scope and how accessible your existing systems are. We deliberately sequence the highest-return workflow first, so something is live and earning while the rest is still being built.
Do we have to replace our current software?
Almost never. We integrate with what you already use — CRM, accounting, project tools, industry-specific software. Ripping out working systems is expensive, disruptive and usually unnecessary. Where a tool has no usable API we work around it. We will tell you plainly if something genuinely has to change, and why.
Who actually does the work?
Our own developers. We do not subcontract the build or hand it to a partner network. You talk directly to the people writing the code, through the client portal and in calls, for the whole engagement.
What happens to our team?
In our experience the work goes up, not the headcount down. Automation takes the repetitive, low-judgement work — data entry, chasing, routing, reporting — and leaves your team the parts that need a person. Most clients redeploy people into work they could never get to before. If your goal is a specific headcount reduction, say so on the call and we will be straight with you about what is realistic.
Is our data safe?
We work within your existing systems and permissions wherever possible, and we scope the minimum access each automation needs rather than taking blanket admin rights. Every automated decision is logged with its inputs and its reasoning, so you have an audit trail. For regulated industries we design the compliance and retention requirements in from the start rather than adding them later.
What if the AI gets something wrong?
It will, occasionally, which is why we design for it. Automations that touch money, contracts or customers have confidence thresholds and human approval steps at the points where a mistake would be expensive. Low-risk, high-volume work runs unattended and is monitored. We are explicit in the proposal about which parts run on their own and which keep a person in the loop.
What size company do you work with?
Usually businesses past the point where the founder can hold the process in their head — roughly ten people upwards — with enough volume that repetitive work is genuinely costing money. Below that, the honest answer is often that off-the-shelf tools will serve you better, and we will say so.
What do you need from us?
Access to the systems we are automating, and a few hours from the people who know how the work really happens. That second part matters more than the first. The best automations come from the person who has been doing the job for six years, not from a process document.
What if it does not work?
Each phase is fixed-price against a written scope, so you always know what you are buying before it starts. We build against your real data and edge cases before anything goes live, and we roll out with a fallback path. If a phase does not deliver what the scope said it would, we fix it — that is what fixed scope means.
